Configure your show’s Basic Information. Give it a name!
Enable organizations across your show (ie: USEF, USHJA, your local association)
Set up Stripe to handle all credit card transactions
Invite any team members with unique roles and permissions
Set up your Divisions & Classes. Explore all settings to set customizations to fit your show. Configure Prize Money tables. Add Nomination Fees. See how Horse Spot automatically calculates Championship Points tables. And explore discipline-specific features we have on file such as Dressage Tests.
Set your Public Experience Settings. Choose entry open and close dates. Set any requirements for pre-payments. Set up your Show Fees. Turn on the ability to collect Coggins, Health Certificates, and Vaccination Records.
Add any unique tags to help you track categories better
Give your show an overview. Go to your dashboard and change the show status from template or draft to “Live”. Publish your show and start collecting those entries!
1-3 weeks before the show (Live)
Entries are rolling in and you can see a headcount on your main dashboard.
Verify any entries for review if you see any new entries or entry updates come through.
Review Adds & Scratches and accept, reject, or waitlist any requests.
Check our Affiliate Review screen to verify credentials. See which entries have successfully been verified and entries that have errors that need to be resolved. Resolve as much as you’d like before the show starts.
Set up your rings. Use the Ring Manager to schedule any unscheduled classes. Add in any special breaks with custom time blocks (ie: 15 minutes) for things like ring drags, ceremonies, and fence height changes. Use Horse Spot’s automated calculated start times to give exhibitors an idea of when they may go. Set Orders of Go—save and publish orders for individual classes when you’re ready to make that information available.
Promote your show on social! Continue to get entries in by sharing your unique URL. Tag @HorseSpotShows on IG and @Horse Spot on Facebook to widen your audience and as a way to introduce your exhibitors to our channels. Our 24/7 support team extends their services to exhibitors too. Exhibitors can reach out to [email protected] with any questions they may have! If an exhibitor asks a question that is meant for show management, we will either have them reconnect with the Show Secretary or Manager and/or Horse Spot will forward the message directly.
Day of Checklist
Print out our handy QR print-outs to put around the show so exhibitors can easily scan for quick schedules and results.
Print back number stickers with our automated entry system. Attach the proper names to their back numbers with their detailed information for a smooth check-in process. The stickers include their basic information and handy QR codes exhibitors can scan.
Print out any operational reports to get your staff ready for the day. This may include class sheets, daily schedule & counts, and judge’s cards.
Continue to review the entries screen digitally with any accounts that need attention, including:
Entries for Review (if your show is allowing late entries)
Adds & Scratches
Affiliate Reviews
Create barn accounts for trainers that want to split up fees.
Post ringside results as judge’s cards are collected. Save and lock.
Last Day Check out list
Keep an eye on “Open Accounts” on your main dashboard. See how many entries haven’t closed out.
Accept payments or send mobile payment links. Exhibitors can check out in the office or remotely.
Celebrate! You just ran your show on Horse Spot. Finally software that’s as reliable as a horse.
